3 Important Event Planning Tips!

Planning an event can seem like a monumental task. How can you make so many moving parts come together to work in perfect harmony?

Well, never fear, Prospector Ranch is here!

We have 3 tips that anyone can use when planning an event. 


1. Plan. Think about how you want things to pan out before you get started. 

You don’t want to jump into planning an event without any preconceived ideas of what you want it to be. Take some time to think about what your goals for the event are, and brainstorm the specifics. 

Try to answer the questions Who, What, When, and Where? These answers will help you to address your target audience for the event, and help you begin to develop a theme, which leads us into the next tip. 


2. Have a theme for your event. 

This doesn’t have to be anything special, or heavily specific. It can be as simple as the kind of food you want to serve at the event. Or it can be as complex as a dress code, matching decorations, and food that follows in the same fashion. 

Having a theme helps you to focus and have continuity to your event. It makes organizing things much easier and creates a cohesive look, which is something that never hurts. 

Think about it: when you attend an event, do you want to go to one that is all over the place and not visually appealing, or one that has some cohesiveness and is visually appealing? 


3. Have a plan B in place. 

Things happen. People run late. A certain food you wanted for the event suddenly isn’t available. It rains. It’s hot. It’s cold.

Having back up plans in place when things inevitably go wrong will make your life so much easier during the event. It will make your guests happier, too. For example, if you’re having an event that’s outside, think about the weather for that day and make sure you have the proper measures in place for the most comfortable time for your guests. 

It might rain? Have some umbrellas or covered places in case it happens.

It’s going to be extra hot? Have plenty of cold drinks and water on hand. Include some fans, if you have access to electricity. Create some shade, if there aren’t natural areas already.

Make sure to take the time during the planning portion of your event preparation to include backup plans for things that could go wrong. You and your guests will be grateful you did!

One great space is down at our saloon with beautiful grand oak trees. It’s perfect for Western themed or casual events, and can accommodate up to 150 people.

For children’s parties, people even have the opportunity for a petting zoo during the event.

Another space is on the deck of our house, complete with expansive Mountain views. We’ve had small intimate weddings here.

A dream of Meggan’s is to host an event on the view lot where our 1972 Vintage Airstream is. The space is large enough for 100 people and would be ideal for an elegant wedding and reception.

Utilizing these tips when planning your next event will not only help make the process smoother and your life easier, it will also get you one step closer to that warm feeling of a success coming to reality!
